Administrative Coordinator – Pharmacy Practice

Midwestern University seeks an Administrative Coordinator to provide administrative support to the Chair, Vice Chairs, and the faculty members in the Department of Pharmacy Practice. This position reports to the Chair of the Department of Pharmacy Practice. Responsibilities:

  • Department Support:
    • Serve as the Department liaison with University support units.
    • Assist with yearly planning for faculty workloads and managing faculty assignments.
    • Coordinate outside facilitators, graders and lecturers in consultation with Chair or Vice Chair.
    • Serve as liaison to all outside faculty including developing LOAs/ICAs. Handle all onboarding for outside faculty and oversee payment processing.
    • Schedule and oversee all student evaluations of faculty and courses. Review and distribute faculty and course evaluations in consultation with the Chair.
    • Organize faculty performance evaluations for the Chair.
    • Provide administrative support to assigned College and Department committees.
    • Facilitate communication for Chair, Vice Chairs and/or faculty with outside partners, including meeting scheduling with clinical site partners and coordinating site partner faculty evaluations.
    • Maintain and organize Department archives including the Department computer drive and Canvas courses.
    • Provide Department orientation for new faculty.
    • Assist with planning and staffing of College off-site events, including after hour events.
    • Schedule Department meetings and serve on the Department Retreat Planning Committee.
  • Administrative Support
    • Support daily Department operations.
    • Review of block schedule and tracking of CSC events for Department courses.
    • Oversee business services for the Department and manage ordering for grant accounts. Process check requests and manage the Department credit card.
    • Maintain an inventory of and order supplies needed for the curriculum.
    • Serve as contact person for faculty to assist in organizing student competitions and special events.
    • Cross-train and serve as support to the TA including exam preparation in testing center software, exam proctoring and other essential TA duties.
