The Village of Bensenville seeks an Executive Assistant to join their team. Under the direction of the Village Manager, the role requires the ability to make independent decisions, within the limits defined by the Village Manager. This position requires knowledge of the Village’s and the Village Manager’s Office policies, rules, regulations, and functions. Performs highly responsible and confidential functions for the Village Manager, Village President, Elected Officials, and the Village Attorney. Develops and maintains professional relationships with various individuals that interact with the Village Manager and the Village President that promote business relations, cooperation, and teamwork with certain outside entities. Exercises sound judgment when making determinations on various important issues that include public inquiries and problems, internal matters of the Village Manager’s Office, and all general and confidential matters. Flexibility to multi-task, meet deadlines and commitments, and maintain a professional work environment. The availability during off hours to aid the elected officials as needed. Salary range is $61,800 – $74,160. - Always maintain a professional decorum and confidentiality of matters within the Village Manager’s and Village President’s Office.
- Always provide internal customer service to the Village President and all elected officials on a as needed basis including onboarding, training, and always maintaining availability including off hours as needed.
- Create certain agenda items as directed by the Village Manager.
- Prepares routine correspondence which includes weekly reports, letters, meeting minutes, proclamations, forms, certificates, and the creation of resolutions.
- Receives mail and correspondence addressed to the Village Manager or Village President and determines priority and importance.
- Responds to incoming telephone calls to the Village Manager, elected officials, and the Village Attorney.
- Maintains the Village Manager, Village President, and elected official’s calendars.
- Schedules meetings, Zoom meetings, and events as directed.
- Performs special assignments and any other duties that are assigned by the Village Manager, for the involvement of the Village President, and elected officials.
- Advises and maintains the budgets for Governance, Legal, and the Village Manager’s Office.
- Responsible for prioritizing safety in the workplace by strictly adhering to and familiarizing yourself with all company safety policies and procedures.
- Some evening and weekend work may be necessary.
