American Academy of Pediatrics seeks a Live Education Activities Coordinator to provide programmatic and administrative support to the Live Education Activities (LEA) team and Committee on Continuing Medical Education (COCME). Coordinate functions related to the development, delivery, and evaluation of assigned activities. Develop and coordinate planning group and faculty communications and LEA activity information. Assist with ensuring activities comply with accreditation requirements and AAP Education guidelines. Duties and responsibilities:

  • Provide administrative support to COCME, LEA team, and assigned activities. Coordinate logistics for and attend COCME meetings; assist with preparation of agenda materials and drafting of meeting minutes. Assist with budget entry and tracking of variances. Coordinate and process expense reimbursements.
  • Monitor aapcme mailbox(es) and triage messages.
  • Serve as the lead disclosure system Superuser for the LEA team. Coordinate disclosures and prepare disclosure grids for the COCME and assigned activities.
  • Assist with the Practical Pediatrics (PPC) faculty invitation process and maintenance of PPC curriculum list.
  • Implement LEA project plans and continuously evaluate to ensure objectives and timelines are met. Identify, recommend, and implement process improvements on an ongoing basis.
  • Create and disseminate standard and customized faculty and planning group correspondence within established timelines. Assist with the dissemination and tracking of activity, faculty, and planning group information and documents. Enter/maintain information in netFORUM, and post/update documents on collaboration sites and in faculty guides.
  • Coordinate receipt, organization, and review of LEA materials, including faculty presentations and recordings. Identify and assist in solving compliance issues (eg, copyright, HIPAA, accreditation). Program session information in netFORUM and the LMS, create session cards and coordinate/post materials, presentations, and multimedia videos to PediaLink/LMS. Add and conduct quality assurance testing of media links. Proof, reformat, assemble, and coordinate printing and shipping of syllabi and related materials. Use systems and electronic tools (eg, DropBox, jotforms, SharePoint, Teams, Google docs, collaboration sites) to enhance processes.
  • Coordinate logistics and attend planning meetings/calls, assist with preparation of agenda materials and drafting of meeting minutes.
  • Program evaluation questions in SurveyMonkey/LMS; disseminate evaluation data/summaries to faculty, planning groups and staff; and input data in files.
  • Assist with the development, implementation, and review/processing of Maintenance of Certification (MOC) Part 2 assessments.
  • Coordinate data sharing with AAP Accreditation Services staff, obtaining questions from Content Essence database/LMS, creating audience response and case/question/critique slides, and performing quality assurance testing.
  • Coordinate and distribute attendee communications in Magnet Mail.
  • Assist with compiling information for promotions and proofing promotional copy.
  • Assist with ensuring assigned LEA activities comply with AAP CME quality standards, Accreditation Requirements of the Accreditation Council for Continuing Medical Education (ACCME), and the AMA Physician’s Recognition Award program (PRA). Assist with compilation of accreditation files. Develop and maintain materials in electronic history files.
  • Provide on-site support at live activities, including faculty rehearsals and the AAP National Conference & Exhibition.  Staff the online chat platform, as needed.
