International Leak Detection is a growing small business with U.S. and Canadian operations, looking for a hands-on Accounting/Office Manager to own the entire accounting function and keep their office running smoothly. You’ll have direct visibility into the business and a real hand in improving profitability and strengthening processes. Responsibilities:
- Prepare accurate, timely customer invoices and maintain billing logs and provide lien waivers to customers based on verified payments.
- Apply customer payments (checks, ACH, wires) to the correct invoices and resolve discrepancies.
- Own collections and monitor AR aging to maintain predictable cash flow.
- Process vendor bills and payments, and manage AP aging.
- Support the import process: review customs documentation for completeness and accuracy, ensure landed costs are correct, and prepare international wire payments.
- Perform monthly bank and credit-card reconciliations.
- Set up and maintain job costing in QuickBooks Online; reconcile job costs to the GL and report on profitability with Operations.
- Review employee expense reports in Expensify for accurate coding and receipts.
- Process U.S. and Canadian payroll, including timekeeping review, payroll registers, and 401(k) administration.
- Manage Illinois Use tax, Canadian payroll tax, WSIB, GST/HST, and estimated tax payments.
- Run the full month-end close in accordance with GAAP: reconcile balance sheet accounts, prepare and post accruals and prepaids, prepare job costing schedules, and deliver a complete close package to leadership.
- Maintain document organization and retention across both entities.
- Support day-to-day office administration and maintain onsite SOPs.
Requirements:
• Excellent analytical and problem-solving skills
• 3–5 years of full-cycle accounting experience, including hands-on month-end close
• Bachelor’s degree in Accounting preferred — equivalent education and experience will also be considered
• Job costing or construction billing experience preferred
• Prior QuickBooks Online experience preferred
• Strong Excel skills and documentation accuracy
• Comfortable working independently, onsite, in a small office
