Forest Preserve District of DuPage County seeks an Administrative Associate for the District Fleet Management building. This position provides administrative support to a department using independent judgment to carry out assigned projects. Specific job duties vary based on department needs and include the ability to work effectively with others.
Essential Duties and Responsibilities:

  • Perform day-to-day administrative duties, including, filing, opening and distributing mail, scanning of documents and preparing documents for meetings.
  • Utilize suite of office software products to create, prepare and modify a variety of reports, documents and contracts. Compose and type correspondence. Create and maintain recordkeeping reports and filing systems.
  • Code and process invoices for payment. Update and maintain all department forms, schedules and calendars as applicable.
  • Coordinate meetings, including preparation of agenda, coordination and distribution of materials, notification of members, typing of ordinances.
  • Process work orders and the ordering and purchasing of equipment, uniforms and supplies. Maintain inventory and reconcile invoicing. Coordinate services provided by outside vendors.
  • Plan, support and participate in special events and sponsorship activities.
  • Assist in research and data collection on special projects of a sensitive nature.
  • May supervise assigned personnel and volunteers.
