The Recruiting & Human Resources Administrator provides administrative support to the Human Resources team in all areas including recruiting, on-boarding, safety, training, associate engagement, reporting, HRIS maintenance, payroll, compensation, and benefits administration. They offer a friendly greeting to each individual that stops by or calls in to the HR office, offering to promptly assist them with their needs. They are responsible for the organization of the Human Resources office and associated storage areas as well as proper maintenance of all personnel files and records. Job Responsibilities:

Training and Development
  • Assists in the coordination and setup of all training programs.
  • Plans, organizes, coordinates, and prepares supplies for development and training events.
  • Ensure all associate training, documentation and testing is completed in the required time frame.
  • Facilitates all new hire on-boarding and trainings to include new hire orientation day one and benefits overview.
  • Assists the Human Resources Director and Human Resources Generalist in conducting training programs as needed.
  • Tracks and maintains all training records, completes audits as required.
  • Ensures all associates have completed required trainings (Harassment, Diversity, Human Trafficking, etc.) by the deadline. Sends reminders and follows-up on outstanding training items.
  • Schedules all required certification courses for new hires and tracks renewals. Sends reminders and follows-up on outstanding training items and renewals. This includes, but is not limited to, ServSafe Allergan, ServSafe Manager, Illinois Food Handler, Naperville Basset, and Naperville Fingerprinting.
 Recruitment
  • Coordinates recruitment efforts for all positions utilizing the Paycor Recruiting System
  • Sets up new Paycor Recruiting Users
  • Manages the position requisition and applicant tracking systems
  • Communicates open positions to the team as they become available via the weekly posting
  • Posts internal openings following company guidelines and coordinates all internal expressions of interest
  • Posts every open position on Paycor according to the approved position requisition.
  • Utilizes knowledge of relevant job boards and websites to post to additional resources (LinkedIn, Craigslist, industry job boards, school job boards, etc.)
  • Sends weekly open positions to the resource list provided
  • Refreshes all job openings on a weekly basis within the Paycor Recruiting system
  • Screens all resumes and applications against determined job requirements
  • Conducts phone interviews following the phone screening guide for all hourly positions prior to scheduling in-person interviews
  • Coordinates management phone interviews for the Human Resources Generalist
  • Schedules all in-person interviews with the appropriate manager(s) and communicates interview details to all parties
  • Creates a day-of interview schedule for each candidate and communicates interview details with each candidate. Sends email and text confirmations to each candidate regarding their upcoming interview.
  • Compiles all notes, resumes, applications and OADs and submits them to the interviewers for each department prior to the scheduled interview
  • Obtains pre-approval of all offer letters and conducts pre-employment meetings with each candidate
  • Conducts pre-employment screenings including background check, reference verification, testing, MVR, etc.
  • Schedules on-boarding appointments with new hires, notifying both new hire and department manager of the appointments.
  • Coordinates and attends internal and external job fairs
  • Provides insight and research on new recruitment sources to the HR Leadership team
  • Posts temporary labor positions in a timely manner. Coordinates temporary labor needs with department managers.
  • Maintains files on candidates and recruiting activity; prepares reports on recruiting metrics periodically.
HR Administration/Compliance
  • Completes all New Hire On-boarding and Off-boarding processes through the HRIS system, Paycor
  • Assists in maintaining the Paycor system
  • Completes system edits as directed (transfers, add/remove job codes, pay rate changes, etc.)
  • Monitors and assists in the creation and maintenance of all employment files to standard
  • Assists with the coordination of the monthly HR Calendar of events including obtaining rooms, sending calendar invites, creating flyers, ordering items, and requesting BEOs.
  • Compiles New Hire and Benefits packets in preparation for Orientation
  • Tracks required data and produces reports as needed.
  • Helps to coordinate and plan associate engagement events.
  • Greets all associates as they arrive or call in to the HR Office. Offers assistance to them or directs them to the correct HR Leader for follow-up.
  • Assists managers and associates with HR related questions and provides an accurate and timely response.
  • Assist in the planning and coordination of special HR projects.
  • Manages the archive filing system.
  • Maintains a clean and efficient workspace and HR office. Ensures storage spaces are clean and organized at all times.
  • Assist in the tracking and organization of all items for the Management Scorecards.
  • Ensures I-9/E-Verify compliance is followed for all new hires
Benefits, Payroll, Compensation & LOA Administration
  • Assists HR Leadership with Benefits Administration, packets and resources, associate questions, billing, and payroll updates
  • Assists in the coordination of annual Open Enrollment activities
  • Coordinates periodic projects as directed by HR Leadership
  • Completes Hourly Holiday Pay Audits
  • Completes Floating Holiday and Paid Time Off (PTO) Accrual audits upon request
Associate Relations
  • Coordinates 30-Day Check-Ins with all new hires for the HR Generalist.
  • Sends 90-day Review reminders. Tracks annual reviews and performance management data.
  • Coordinates and schedules all exit appointments with HR Leadership.
  • Assists in the setup of new associates (IT access, business cards, key requests, etc.)
  • Completes all off-boarding steps and required notifications. Sends exit packets in a timely manner.
  • Coordinates the Associate Opinion Survey, assists in compiling data and feedback reports.
